This Privacy Policy explains how DEFY Document Vault ("DEFY," "we," "us," or "our") collects, uses, discloses, and protects information when you use DEFY Document Vault and its available services, including DEFY Document Preparation Services.

Information we collect

We collect account and authentication information such as your email address, name, login records, and account identifiers. If you provide business details, we may also collect your business name, business type, and related profile information.

We collect the content you choose to create, upload, or share through the service. This may include document titles and contents, intake answers, generated PDFs, uploaded files, version history, client-related information, workspace settings, team member details, invitations, messages, acknowledgments, and activity or audit records.

We also collect limited technical and usage information needed to operate and secure the service, such as timestamps, feature activity, browser or device information, error records, and security events.

How we use information

We use information to authenticate users, provide and secure accounts and workspaces, generate and store documents and PDFs, support team collaboration, maintain version and audit history, respond to support requests, process subscriptions, prevent misuse, troubleshoot errors, and improve the service.

AI-assisted screening

DEFY Document Preparation Services may use AI-assisted screening to review factual answers and determine whether an intake can continue or should stop with a referral notice. Screening answers and the resulting eligibility record may be stored with the related service record. This screening does not provide legal advice, interpret law, recommend legal strategy, select legal forms, or predict an outcome.

Payments

Subscription payments are processed by Stripe. We may receive payment-related details such as customer and subscription identifiers, payment status, plan, and billing history. DEFY does not receive or store your complete payment card number through the standard checkout flow. Stripe processes payment information under its own privacy practices.

How information is shared

We disclose information to service providers that help us operate the product, such as providers for hosting, data storage, authentication, payments, AI processing, email, monitoring, and customer support. They may process information only as needed to perform services for us. We may also disclose information when required by law, to protect rights and safety, or in connection with a business transfer.

Workspace content is available to authorized workspace members according to their assigned access. Workspace owners and administrators are responsible for deciding who they invite and what information those members can access. We do not sell personal information.

Retention and deletion

We retain information while your account is active and as reasonably necessary to provide the service, maintain security and audit records, resolve disputes, enforce agreements, and meet legal obligations. Some records may remain in backups or be kept where law or legitimate security needs require it. You may request account or personal information deletion through the support channel available in the app or by contacting hello@defydocumentvault.com. We may need to verify your identity before completing a request. Deleting shared workspace content may depend on your role and the rights of other workspace members.

Security

We use reasonable administrative, technical, and organizational measures designed to protect information. No online service or storage method is completely secure, so we cannot guarantee absolute security. Keep your credentials confidential and notify us through the in-app support channel if you suspect unauthorized access.

Your choices

You may update certain profile and workspace information in the app. Depending on your location, you may also have rights to request access, correction, or deletion of your personal information. Submit a request through the support channel available in the app or email hello@defydocumentvault.com.

Children

The service is intended for adults and business use. We do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this policy as the service changes. We will post the revised policy with a new effective date and provide additional notice when appropriate.
